Criteria for digitising library collection materials

These criteria do not apply to articles and chapters digitised as part of online reading lists.

1. Effect on accessibility

  • Increased access to materials which are rare or uniquely held by Monash University Library, especially delicate and valuable material.
  • Extent to which digitisation will make rare materials available to Monash researchers and the wider research community.
  • Extent to which access can be provided and originals stored or disposed of.
  • Extent to which Monash digital content contributes to a broader collaborative project which improves access generally

Level of use of material

  • Potential level of use of the digitised material, and of the originals, should the material be digitised.

3. Copyright

  • Copyright is owned by Monash University OR has been cleared with the copyright owner/s for both digitisation and public access on the web OR the material is out of copyright. When the copyright owner has placed restrictions on digitisation or dissemination via the web, consideration will be given to the impact of those restrictions on meeting other criteria and library objectives.
  • Cost, including staff time, of clarifying copyright status and/or obtaining permissions.

4. Potential for promotion of the library

  • Extent to which the digitised material can be marketed or used to promote the Library and its services.
  • Extent to which there is contextual material available to help create an online exhibition or multimedia product.
  • Extent to which others are likely to want to publish the item either in print or electronically.

5. Extent of indexing/cataloguing or metadata creation required

  • Time and cost of providing adequate indexing/cataloguing/metadata creation.
  • Availability of specialist staff to do indexing/cataloguing and metadata creation.

6. Conservation treatment and/or physical preparation

  • Need for conservation treatments and their cost to be identified before selection for digitisation can take place.
  • Extent to which digitising may assist in the preservation of fragile originals by deflecting use to surrogate copies.
  • Time and cost of other physical preparation of items.

7. Budget

  • Availability of identified funds and an itemised budget to support the project.
  • Availability of targeted funding, especially external funding.

8. Availability of staff to undertake digital conversion

  • Availability of staff with skills to do the digital conversion.
  • Cost and staff time in conversion and file management planning.

9. Strategic positioning

  • Extent to which the project will put the Library and the University on the map and give us something of which to be proud.
  • Extent to which the project will place rare or valuable items in the public arena before we are requested to loan or link them to another organisation's site.

10. Technological Requirements

  • Availability of appropriate technological infrastructure to deliver a satisfactory end result, including capture, storage and display.
